Acceptable Use Policy

Sep 12, 2025

Introduction
Kiddo is committed to ensuring that our platform is used in a safe, lawful, and respectful manner. This Acceptable Use Policy (“AUP”) outlines rules and guidelines for all users of Kiddo’s Services (including childcare Centers, Parents, and any other authorized users). By using Kiddo, you agree to comply with this AUP. Violations may result in suspension or termination of your access, as well as other legal consequences where appropriate. If you witness or suspect any violations of this AUP, please report them to us at support@kiddosoftware.com.

The following list provides examples of prohibited conduct on Kiddo. This list is not exhaustive, and Kiddo reserves the right to determine what conduct is inappropriate.

1. Illegal or Harmful Activities

  • No Violation of Law: You may not use Kiddo for any purpose that violates local, state, national, or international laws or regulations. This includes, but is not limited to, laws governing privacy, data protection, intellectual property, spam, export control, and terrorism-related laws. For example, you must not use Kiddo to facilitate any criminal activities, to launder money, or to evade sanctions.

  • No Exploitation of Children: Absolutely no content or activity on Kiddo may exploit or harm minors in any way. This means you cannot post or transmit any content depicting children in a pornographic, abusive, or exploitative manner. Kiddo has zero tolerance for child sexual abuse material (CSAM) – if we become aware of any such content, we will terminate the account and report it to law enforcement immediately.

  • No Physical Harm or Threats: You may not use our platform to threaten, stalk, harass, or incite violence against any person or group. This includes threats of harm to children, parents, center staff, or anyone else. Communications via Kiddo (for instance, messages from a Parent to a Center) should remain civil and not include threats, intimidation, or hate speech.

2. Security and System Integrity

  • No Unauthorized Access: Do not attempt to gain unauthorized access to Kiddo’s systems or other users’ accounts. This includes hacking, password “phishing,” social engineering, or circumventing authentication or security measures. You should only access your own account or information explicitly shared with you.

  • No Network Abuse: You must not interfere with or disrupt the integrity or performance of our Service or the data it contains. Examples of prohibited technical abuses:

    • Deploying viruses, worms, malware, or any other code intended to harm or exfiltrate data from the platform or users’ devices.

    • Performing denial-of-service (DoS) attacks or stress testing the platform in a way that could crash or degrade service.

    • “Crawling,” “scraping,” or using bots to systematically extract data from Kiddo without authorization. (Centers can of course export their own data through provided features, but using automated scripts to harvest other data is forbidden.)

    • Exploiting any vulnerabilities or bugs in the software. (If you discover a vulnerability, please report it to us responsibly instead of misusing it.)

  • No Credential Sharing: Protect your login credentials. You should not share your password or two-factor authentication codes with unauthorized individuals. Similarly, do not use someone else’s account or impersonate another user.

  • No Eavesdropping or Data Misuse: You may not attempt to read, intercept, or capture data packets or content that is not intended for you. For instance, don’t use tools to snoop on network traffic to extract information about other users. Also, do not misuse any data that you do have authorized access to (e.g., a Center should not use a parent’s email obtained via Kiddo to send them unrelated marketing without consent).

3. Respectful Conduct and Content

  • No Harassment or Hate: Kiddo is meant to facilitate positive interactions between childcare providers and families. You may not harass or bully others via our platform. This includes using derogatory slurs, epithets, or engaging in behavior that is abusive or highly offensive to a reasonable person. Harassment on the basis of race, ethnicity, national origin, religion, sex, gender, sexual orientation, disability, or any other protected characteristic is strictly forbidden.

  • No Obscene or Offensive Content: Do not upload or share content that is pornographic (especially any involving minors, which as stated is illegal), excessively violent, or graphically offensive. Also avoid profanity or vulgar language in communications where it’s not appropriate – remember many communications involve discussing children’s care, and professionalism is expected.

  • No Misleading or Fraudulent Content: All information you provide via Kiddo should be truthful and accurate to the best of your knowledge. For example:

    • Centers must not advertise false information about their services, such as credentials they do not have or openings that don’t exist.

    • Parents must not submit false information on applications (like fake names or incorrect birthdates) or enroll a child they do not have authority over.

    • Any documents or records shared should be genuine (no fake immunization records or altered forms, for instance).

  • No Spam: You may not use Kiddo to send unsolicited bulk communications. Centers should not spam parents with unrelated promotions beyond the scope of enrollment/childcare communications (unless the parent has opted into such marketing). Likewise, Parents shouldn’t spam Centers with repetitive or irrelevant messages. Mass-mailing scripts or automated email extraction from Kiddo are not allowed.

  • Appropriate Use of Messaging: If Kiddo provides messaging/email features, use them for their intended purpose (childcare enrollment, updates, Q&A between parents and centers). Do not use them to send chain letters, pyramid schemes, or any solicitation not relevant to childcare services. Also avoid flooding messages (sending excessively frequent messages without a reasonable need).

  • No Inappropriate Content Involving Children: While using Kiddo, you might upload notes or files (like a child’s photo for their profile, or notes about a child’s needs). Such content must be appropriate and relevant to childcare. Absolutely do not upload any images or content of children that are exploitative, sexual, or excessively personal beyond what’s necessary for care (e.g., don’t upload a child’s entire medical history unless needed; be mindful of privacy).

4. Privacy and Data Usage

  • No Unauthorized Sharing of Personal Data: If you have access to personal data via Kiddo, you must treat it confidentially and only use it for the intended purpose. For instance, Centers receive parents’ and children’s personal information to consider them for enrollment – the Center should not then share that information with third parties or use it for unrelated purposes (like selling the list of parent emails) without consent. Similarly, Parents may see some info about the Center or possibly other families (for example, if a parent forum exists) – they should not misuse or broadly disseminate that information.

  • Follow Applicable Privacy Laws: Centers in particular act as data controllers for parent/child data. Using Kiddo doesn’t exempt you from laws like GDPR, FERPA (if applicable), or COPPA. Do not use Kiddo to collect information from children under 13 without parental consent. Do not override privacy settings or try to extract data that the platform doesn’t allow you to (like trying to access another Center’s family list).

  • No Recording or Surveillance via Kiddo: Kiddo isn’t a video or audio monitoring platform, but if any feature allowed sharing media, you must not secretly record someone or share content violating others’ privacy rights. For example, don’t upload a recorded phone call with a parent without their knowledge or any CCTV clip from your center without proper consent.

5. Intellectual Property and Fair Use

  • Do Not Infringe IP: Only upload or share content (text, images, documents) that you have the right to use. For example, Centers shouldn’t upload a curriculum document or image that they copied from another source without permission. Parents shouldn’t attach files they don’t have the rights to share. If you use any logos or trademarks (say, a Center uploading their logo), ensure you have rights to that mark. Avoid sharing Kiddo’s software or content outside allowed uses – for instance, you can’t reverse-engineer our app or copy our interface for your own product.

  • No Plagiarism or Misrepresentation: Don’t plagiarize content in your profile or communications. Centers, describe your offerings in your own words. Parents, if asked to provide info (like a personal statement), it should be your own. And of course, do not claim to be someone you’re not or misrepresent affiliations (no impersonating another parent or pretending to represent Kiddo or another organization you don’t).

  • Feedback and Feature Use: If you discover any feature on Kiddo that could be exploited in a way not intended (like a glitch that lets you see unauthorized data), ethically you should refrain from exploiting it and report it. Using features in unintended ways that break this AUP is prohibited, even if the system technically allows it.

6. Enforcement and Consequences
Kiddo reserves the right to monitor usage for compliance with this AUP, although we are not obligated to do so. We may take action if we detect or are made aware of violations:

  • We may warn the user and ask for corrective action (for minor first-time issues).

  • We may suspend or terminate the account(s) involved in severe or repeat violations without notice. For example, a center found sharing child data externally could be suspended; a parent sending threats will be removed.

  • Illegal activities may be reported to law enforcement authorities. For instance, any hint of child exploitation material or credible threats of violence will be promptly reported.

  • We may remove or block access to any offending content. If a particular file or message violates the policy, we can delete it or prevent delivery.

  • Kiddo is not liable for any damage resulting from our action in response to your violation of this AUP (as per our Terms of Service’s liability clauses).

Users shall cooperate with any investigation by Kiddo into violations of this AUP. We also encourage Centers to have their own acceptable use guidelines for staff and families to align with ours, especially concerning communications and privacy.

7. Examples of Acceptable Uses (to clarify by contrast):

  • A Parent respectfully messaging a Center about their child’s enrollment, providing needed personal info, and asking questions – Acceptable.

  • A Center uploading enrollment forms and sending a group update to parents about a new policy – Acceptable (assuming appropriate use of visible emails via BCC or a platform feature).

  • A Parent not interested in a spot simply opts out by notifying the Center, without spamming or harassing – Acceptable.

  • A Center using Kiddo to keep internal notes on scheduling or to coordinate with staff (if features allow) – Acceptable, as long as notes about children are professional and not derogatory.

8. Questions and Reporting
If you are unsure whether something is allowed, err on the side of caution and seek clarification from Kiddo support. We’d rather you ask than inadvertently break the rules.

If you need to report a violation: Please contact support@kiddosoftware.com with details. Include the nature of the violation, names of those involved, relevant context (screenshots, message logs, etc.). We will handle reports confidentially and take appropriate action.

All users of Kiddo share the responsibility to create a safe and positive environment. Thank you for adhering to this Acceptable Use Policy and for helping maintain the integrity of our community.
